Overview
A new Neon CRM Constituent Login Portal design will be available starting on September 3, 2022.
If you are a current Neon CRM user, with your CRM system created before September 3, 2022, we will not switch you over to the new portal automatically. Instead, you can turn on the new Portal when ready inside Global Settings.
This guide is for organizations currently using the Legacy Constituent Login Portal and considering switching to the new Portal design. This guide includes all of the required steps, plus some optional recommendations, for migrating to the new Constituent Login Portal.
Why should I switch to the new Portal?
- New customization options for the login and reset password pages
- New, updated design for many portal pages, including Memberships, Donations, Change Password, Update Profile, Manage Email Subscriptions.
- Easy recurring donation and auto-renewal membership management options, including the ability to pause and later resume a recurring donation
- Ability to download a receipt for membership and/or donation payments (for Canadian organizations, this will be the CRA receipt for the transaction)
- Enhanced Portal Dashboard with quick links and constituent statistics
Definitions
User - A staff member or volunteer with your organization who has access to the back end of Neon CRM. A user logs in at http://login.neoncrm.com and can search for records, enter data, send emails, etc.
Constituent - A donor, member, volunteer, sponsor, event registrant, store customer, or program participant with your organization who has an account inside Neon CRM. You can search for them in the main Neon CRM search bar. They do not have access to the back end of Neon CRM and should only see their own account data, no one else’s, if they log in. It is possible for someone to be both a user and a constituent in your system, if they are a staff member who also has donation, membership, or event attendance history.
Constituent Login Portal - The login access available to Constituents. This is much more limited than the User Login for Neon CRM. Constituents will see only their own data and have access to manage their contact information, transactions, recurring payments, and email preferences. This is also where you can give constituents access to restricted content, like members-only directories, a Board Member portal, private events, etc.
What do I need to do before I switch to the new Portal?
Required steps:
- Go to Settings > Organization Profile and double check that your EIN or CRA Number is correct. This information will appear on the new downloadable receipts inside the Portal. For Canadian clients, your CRA Number has probably been filled in before now, so this is just a quick double-check.
- Go to Global Settings > Themes and make sure that you have one of the new CRM Themes set as the default in your system. There are a few different types of Themes in the system, and the Portal will only work with our newer options. To check this, use the “Type” filter on the Themes page and select “System Themes”, “My Themes,” and “Uploaded Themes”. Make sure one of these has the flag symbol next to it. If not, click “New Theme” to create your branded theme.
- Now, go to Global Settings > Constituent Login Portal > Constituent Portal Dashboard and find the “Interface Setting” section. Click the toggle button to turn on the New Portal, then click “Save” at the bottom of the page.
Optional but recommended steps:
- Check your Portal Settings by reviewing the pages inside Global Settings > Constituent Login Portal. Of particular note:
- Constituent Portal Dashboard: Portal Dashboard Message
This is the welcome message that displays on your Portal Dashboard when a constituent logs in. We’ve retained any messages you set up previously, but now’s a good time to check your message and make sure it fits with the new Dashboard. Click the “Preview” option at the top right of this page to view your portal. - Constituent Portal Dashboard: Profile Configuration
This section determines which details and statistics will show on the portal dashboard. Turn off any features that you’re not using in Neon CRM so that they won’t be shown to your constituents. - Portal Pages
This page determines what is included in the sidebar navigation menu inside the portal. You may have configured this before with the Legacy Portal and we’ve retained all of your settings, but now is a good time to make sure you’re hiding any pages that your constituents don’t need to see. You can also click the pencil icon to the right of each page to adjust the display name inside the portal. - Constituent Login Page
With the New Portal, we’ve added the ability to include a custom message above and/or below the login page. Check this page and add custom messages if needed. - Transaction Field Display
This page determines which pieces of data will be shown to constituents inside the Portal when they are looking at the details of a past donation, membership, or event payment. This also includes the information shown on the new downloadable receipts. Please double check that you’re only showing information that you want your donors or members to see. - Run a live test
We have many new options to Preview your Portal pages from Global Settings, but nothing can replace a live test! To test out the portal, you’ll need to log in to Neon CRM as a constituent instead of as a user. If you already have a constituent account for yourself (search for your name in the search bar), use that. Otherwise, click the “+” icon and create a new account for testing. If you don’t already have a login name and password for this account, use the Reset Password option to set one up. Make sure the constituent account you’re using has your email address in the Email1 field. To find the unique login/reset password pages for your Constituent Login Portal, go to Forms & Pages > Links & Pages > Neon CRM URL.
Note: The system can run into trouble if you have one active login session as a user and a second login session as a constituent in the same web browser at the same time. For a smooth testing experience, we recommend opening the Neon CRM URL (Login Page) in a second web browser or an incognito window in your preferred browser. This will prevent your two login sessions from getting mixed up. This will not impact your constituents since they don’t have user logins.
Portal Pages URL changes
We will be simplifying the URLs for most of the Constituent Portal Pages that are being updated with this release. However, old versions of the URLs will continue to work and redirect to the new pages. Here are the changes to expect:
Note: This chart includes only the URL extensions. All URLs start with https://organizationname.app.neoncrm.com/ (OR https://secure.organizationname.com/ if you have an SSL certificate applied), replacing "organzationname" with the Organization ID found in your Organization Profile in Neon CRM.
