Overview
The Monthly Statement is a PDF summary report of merchant account activity for a given month. Reports are generated in Central time, and are available on the 5th of the following month. If you are subscribed to Monthly Statement emails, you will receive a notification when the latest report is ready.
How to download a monthly statement
Go to the Reports menu and click the Monthly Statements option.
If you have multiple merchant accounts, use the dropdown menu to select one. If you have a single merchant account, it will be automatically selected with the merchant account dropdown disabled.
Once a merchant account is selected, choose a month and click Download Statement. The Monthly Statement report will either open in your browser or download to your computer as a PDF file, depending upon your browser's settings.
Note: Statements remain available to download for 18 months.
Reading the Statement

The statement’s header includes the date and time the report was generated, as well as the date and time range that the report covers. All data is compiled in Central time. The report reads from activity created between 12am Central on the first day of the given month, and cuts off at 11:59pm Central on the last day of the month.
Account Summary
The Account Summary section contains your merchant account’s beginning and ending balance for the month, and totals of each activity type in Neon Pay: Charges, Refunds, Fees, Adjustments, and Payouts. All totals on the report exclude Failed activity.
Charge Activity
The Charge Activity section contains all charges and refunds created and processed on the merchant account in the given month, broken out by type: Credit Card and ACH.
Fees & Adjustments
The Fees & Adjustments section contains all fees and adjustments assessed on the merchant account in the given month. For details on terms used, see the Neon Pay Glossary.
Note: Platform Fees are a type of service fee, and may not be used by all Neon One applications.
Monthly Merchant Account Fees
The Monthly Merchant Account fee is charged on the first of the month around 12:00 am Eastern US time. Depending on when the fee is processed for your merchant, this means the fee may appear in the Monthly Statement for the prior month. This is because the Monthly Statement is generated from 12:00 am Central US time on the first of the month to 11:59 pm Central US time on the last of the month.
You can see what time the fee was generated in Neon Pay on the Balances tab. The time in the Created On column is displayed in your operating system's time zone. Convert the time in the column to Central US time to determine which Monthly Statement the fee should be in.
Payouts
The Payouts section contains all payouts created and processed on the merchant account in the given month. Each payout listed includes the total charges, refunds, fees, and adjustments contained in the payout, as well as the net payout total paid to your bank account. The Total Paid Out row sums all activity listed above.
FAQ
I don’t see last month’s statement. When will it be available?
Statements are generated automatically on the 5th of the month for the previous month’s activity. If you are subscribed to Monthly Statement emails, you will receive an email when last month’s statement is available to download.
Why didn't I receive an email notifying me that a new statement was available?
Confirm that you’re subscribed to Neon Pay’s Monthly Statement emails by going to Settings > User Preferences. Make sure the Subscribe to email notifications toggle is on. Then, make sure the Monthly Statements toggle is on. If you’re subscribed to these emails, an email will be sent when the latest report has been generated and is available to download.
How do I make sure others in my organization receive these notifications?
Email notifications are controlled by each user individually. Other users should navigate to their User Preferences and turn on Monthly Statement emails.
Why are the statements not opening automatically in my browser, or not downloading to my computer?
Check to make sure your browser’s settings are configured correctly to either open PDFs in your browser, or download directly to your computer, whichever you prefer. For example, if you’re using Chrome, follow these steps to update your PDF preferences:
Menu > Settings > Security & Privacy > Site Settings > Additional Content Settings > PDF Documents.
Why is there a discrepancy between my monthly statement and my export from Neon Pay?
Make sure you are not including Failed activity in your exports from Neon Pay, as the Monthly Statement report does not take failed charges, refunds, or payouts into consideration.
If your Neon Pay export is set to UTC time, try updating the Time Zone filter on your data table to Central Time. This will align Neon Pay's data tables and monthly statement to the same time zone. The monthly statement being standardized to Central time also means that it will align with reporting from Neon CRM, which uses Central time for all reporting and exports.
The Monthly Statement is missing or misreporting data. What should I do?
Make sure the activity in question is present elsewhere in Neon Pay and your other Neon One applications, and that it was created within the given month in Central time. The Monthly Statement looks only at successful or pending activity in Neon Pay that has not failed by the time the report is generated.
If you confirm the above and something is still not correct, please contact Support so we can further investigate. Monthly Statements can be regenerated by our development team if we find the source of the problem, so you will always have the correct data moving forward.
