Examining the Import Manager List Page
Introduction
Neon CRM's Import Manager allows you add new accounts into your system using an .xlsx (Excel) or .csv file. The following types of data are available for import:
- Account data, such as names, addresses, email addresses, and phone numbers
- Donation data, such as donation amounts, dates, and payment methods
- Event registration data, such as event registration dates and amounts (legacy events only)
- Membership data, such as membership level, cost, start date, and end date
- Activity data, such as open or completed tasks
- Grant data, such as open or closed grants
- Volunteer Information and Volunteer Time Sheet Information
In addition, the Import Manager allows you to batch update existing Neon CRM accounts. A full list of fields available for account batch update is available here.
Navigating to the Import Manager
To access the Import Manager:
1. Select Tools in the navigation menu and then select Import Manager on the drop-down menu.
The Import Manager List Page now appears (as shown below). This page lists all imports your organization has conducted (please note: any deleted imports will not appear on this page).
Examining the Import Manager List Page
The Import Manager List Page displays important information for each import. Let's explore this page.
This page contains a number of columns, each with explanatory information about the import. From left to right on the page, the columns are as follows:
Import
This column displays the name of the import. If you did not give the import a specific name, the default name of "Import [mm dd yyyy]" (with the current date) will display. You may click the import name to view the import settings used for the import, as well as the data mapping information for the import. This column also displays (if applicable) the name of the system from which this data has been imported, as well as the individual who conducted the import.
Accounts
This column displays the number of accounts added, accounts updated, and/or households updated in the import, if any. You may click any number that appears in this column to view a list of the applicable accounts or households that have been added and/or updated. For example, in the image below, five accounts have been updated in the import.
Transactions
This column displays the number of donations, memberships, and event registrations imported. You may click any number that appears in this column to view a list of the applicable imported donation record(s), membership record(s), and/or event registration record(s). Please note: The event registrations pertain only to legacy event registrations. For example, in the image below, five donation records have been added to the CRM in the import.
Moves Management
This column displays the number of activities and/or grant records imported. You may click any number that appears in this column to view a list of the applicable imported activities and/or grant records. For example, in the image below, two activities have been added to the CRM in the import.
Volunteer Management
This column displays the number of volunteer opportunities and/or time sheets imported. You may click any number that appears in this column to view a list of the applicable imported volunteer opportunities and/or time sheets. For example, in the image below, two volunteer opportunities have been imported.
Duplicates
This column displays any duplicate and/or invalid account imported. Duplicate accounts are not imported because Neon CRM identified them as duplicates. Invalid record could not be imported due to other reasons, such as a lack of required information. For example, in the image below, two accounts in the import have been identified as duplicates. You may click this number to view the accounts and use the Duplicate Management tool, if needed, to remedy any issue.
Status
This column displays the status of your import. Depending upon the number of items in your import, the import may take time. You will receive a notification in the CRM and an email when the import is complete. The statuses are as followed.
Statuses:
- Draft - A saved import that has not been completed
- Queued - The import is awaiting processing
- In Progress - The import is currently being processed by the system
- Completed - The import is complete
Other Button/Icons
At the end of each import row are two icons: an arrow in a circle (or the Continue Import button) and a trash can (or the Delete Import button). These buttons function as follows:
- Continue Import - This button allows you to continue an incomplete import. If you started an import, but did not complete the import, you may select this button to pick up where you left off in the process.
- Delete Import - This button allows you to delete the selected import. Please note: It is not possible to delete an import that is In Progress. Please see the link below for more information on the limitations and guidelines regarding deleting imports.
