Introduction
There are two methods to export your data from GiftWorks: (1) The SmartLists feature allows you to export core data, including donor lists, donations, and relationships. (2) Converting your GiftWorks system to a Microsoft Access format will output the most complete version of your GiftWorks system but may also include redundant or unused data.
Most data needed for a data migration can be obtained through the SmartLists method and is recommended for most users. For organizations needing a more complete export of their GiftWorks system, please see the Microsoft Access method below.
SmartLists
Donor Report
- Go to SmartLists in the top toolbar
- Select View and Manage SmartLists
- In the Standard SmartLists section, select All Donors
- On the Results screen, click Customize in the upper-right corner to add additional columns
- Make sure that this includes all account data (i.e. address, email, etc.), the Donor Id, and any other data that you have entered into GiftWorks
- Select Export This List from the left side of the screen
- Choose Save to File
- Save the file as a .xls file
Donation Report
- Go to SmartLists in the top toolbar
- Select View and Manage SmartLists
- In the Standard SmartLists section, select All Donations
- By default, the output for this list will include all donation transaction information - i.e. amount, date, etc.
- On the Results screen, click Customize in the upper-right corner to add additional columns
- Make sure that the column Donor Id is included, as well as any other columns that may contain data that you included in GiftWorks
- Select Export This List from the left side of the screen
- Choose Save to File
- Save the file as a .xls file
Relationship Report
Note: Relationships are not able to be self-imported into NeonCRM. For more information on limitations of self-import, please view the Preparing to Import Constituent Data guide.
- Go to Reports in the top toolbar
- Select Donor Reports
- Select Donor Relationships report
- Select Export This List from the left side of the screen
- Choose Save to File
- Save the file as a .xls file
Microsoft Access
Your GiftWorks system can also be exported to a Microsoft Access format. While this format contains the most complete version of your GiftWorks system, this export will also include redundant data and additional spreadsheets that may not be needed for a data migration. Most organizations will find the SmartLists method above to be sufficient for exporting data out of the GiftWorks system. For organizations needing the most complete export of their GiftWorks system, follow the steps below to open your database in Microsoft Access.
- Find the file path for your GiftWorks database file. You can see it when you first open GiftWorks on the Sign In To GiftWorks page. It will end with .gds.
- Go to the location of the .gds file on your computer and copy this file as a backup before proceeding with the steps below.
- Edit the file name and rename the .gds extension to .mdb. (Your computer may prompt you to acknowledge that you are changing the file extension.)
- To view the contents of your GiftWorks system, open the .mdb file in Microsoft Access.
You now have the data files that you need to import your data into NeonCRM. Remember, before you do your import, you must format your data appropriately by following our Preparing to Import Constituent Data guide.
