All of the notes on an account can be found by navigating to the Notes Account Section.
Click New Note to create a new note. Both a title & note text are required. You can also upload file attachments as needed.
Categorizing notes with a Type is an option. See Configuring Account Note Types for more information.
Pinned Notes
Notes can be pinned to appear at the top of the account, in the Pinned Notes area.
If an account has any pinned notes, they will appear in a window that covers a small part of the Account page so that it's immediately noticeable.
From this window, you can expand of collapse all pinned notes (item 1 above), add a new pinned note (item 2), click X to close the window (item 3), or open the Actions menu on any individual note (item 4).
Opening the Actions menu gives you the option to unpin, edit, or delete a note, or to assign it a different background color. If you change the color of a note, it will appear in the new color to any system user who views that note.
Pinned Notes are available from any section of the account. If you've closed the Pinned Notes window and you want to open it again, click the circled number in the top right corner of the page.
All account notes can also be viewed from the Account Note Report.
Importing Pinned Account Notes
You can use the Import Manager to import Pinned Notes to accounts. You can do this when importing new accounts, or as an Account Batch Update. The available mapping is shown below.
You can import multiple pinned notes per account, but each note has to have its own line in the import spreadsheet.
If your imported notes have no title, it will be imported as an "Untitled" pinned note.
Donation Note Fields
There are a few note fields you may encounter while adding donations to NeonCRM:
System User Donation Note
The System User Donation Note field is found by clicking on the note icon in the top-right corner while adding or viewing a donation. This will also populate the Note column found on the Donations & Pledges List.
System User Donation Notes are visible from the Donations & Pledges page under the "Note" header.
They are also visible on the Account's expanded Donation record.
System User Donation Notes can only be viewed by System Users.
This field can be used a Search Criterion in Donation Reports as System User Donation Note. It is also available as an Output Column in the Donation Detail Report, as System User Donation Note.
Donor Note
The Donor Note field is entered by your constituents when included on your front-end donation forms, as shown in the example below.
Donor Notes cannot be added or edited by a system user when entering new donations or editing existing ones from the back end of Neon.
Donor Notes can be viewed by system users on the donation record itself under Donor Note.
It will also appear in the Expanded view of donations in the Donations section of the account detail page.
This field can be searched in Donation Reports as Donor Note. A donor note can be viewed in the "Donor Note" column in a Donation Detail Report.
Text entered into this field can be included in the Donation Appreciation System Email using the <> email token. </>
(Donation) Fundraiser Comment
The (Donation) Fundraiser Comment field is the text entered into the Donation Message field on a Peer-to-Peer Fundraising Donation Form, as shown in the example below.
Fundraiser Comment is visible to System Users when viewing a donation record from the back end, in the same location as the Donor Note field.
The Fundraiser Comment Output Column can viewed in a Donation Detail Report.
Payment Note Field
All transactions in Neon CRM (i.e., donations, memberships, event registrations, and store purchases) have the Payment Note field. This note is only accessible to System Users entering transactions from the back-end.
System Users can enter a Payment Note from the checkout (Payment Method) page, as shown below.
Text entered into the Payment Note field appears on a transaction record under the Payment Information section.
Text entered into this field can be included in the Donation Appreciation System Email using the <></> email token.
The Payment Note field can be viewed as an Output Column in the Transaction Report and Donation Detail Report.
It is available as a Search Criterion in donation reports under the Transaction search tab.
Event Note Fields
The Event Note field is found by clicking on the note icon in the top-right corner of an event page. This note can be viewed from the Event Detail Page, as well as in Event Reports via the Event Note Output Column.
The Event Registration Note field is found by clicking on the note icon in the top-right corner while viewing, editing, or processing a new event registration from the back-end of Neon.
Once added, this event registration sticky note can be viewed from the event registration record detail page. It can also be viewed via the Event Registration Note Output Column in Event Registration & Event Attendee Reports.
Membership Note Field
The Membership Registration Note field is found by clicking on the note icon in the top-right corner while viewing, editing, or creating a membership registration from the back-end of Neon. Once added, this membership sticky note can only be viewed on the membership record detail page, and is NOT available in reports.
Activity, Solicitation, and Grant Notes
The Activity Note field is a standard field that is visible when creating or editing an Activity. You can view this field on the activity detail page, or in Activity Reports as the column Note.
The Solicitation Note field is a standard field that is visible when creating or editing a Solicitation. You can only view this on the Solicitation detail page. Solicitation Note is not available in reports.
The Grant Note field is a standard field that is visible when creating or editing a Grant. You can only view this on the Grant detail page. Grant Note is not available in reports.
Time Sheet Notes
A Project Note is found by clicking on the note icon in the top-right corner of a Project detail page. It is only accessible on this page, and is not available for reporting.
A Time Sheet Note is found by clicking on the note icon in the top-right corner of a Time Sheet detail page. It is only accessible on this page, and is not available for reporting.
A Group Note is found by clicking on the note icon in the top-right corner of a Group detail page. It is only accessible on this page, and is not available for reporting.
