How to Generate/Sell a Pass
Online - patrons can purchase a Flex Pass or Flex Subscription Pass from your Pass public page (or from your Retail public page if you have this enabled on your SETUP>Global settings screen). Simply link to that page from your website.
Box Office - First, navigate to BOX OFFICE > Box Office Sales, then pull up or create a patron record. Once a patron record is present, proceed to the Retail screen from the submenu on the left. On the lower right select the pass, enter the quantity (remember this is the # of passes) and then click Generate. The pass will appear, awaiting completion of the transaction. You must then complete the sale by entering a payment method on the left (comp for a $0 pass) and then complete the purchase. Give the patron their pass code for them to use to redeem their tickets either online or through your office. A confirmation email will be sent with the pass code and details.
Email Generation - For Promotional passes ONLY, you can auto generate passes to your patrons when you send them an email. This is done by inserting a string of code into the email message that, when sent, is replaced by a unique pass code for each email recipient. NOTE that these codes are not stored anywhere on the patrons account, so if they lose the pass or they don't receive the email, you will need to regenerate a code for that patron. The string for the email is [*promo_pass/1764*] (whereas the 1764 will be replaced with the number of YOUR promotional pass from the bottom of the price term screen).
Mail Merge Generation - Promotional Passes also can be auto generated to a mail merge file via the marketing screen. When generating your mail merge output, choose the promotional pass from the drop down menu on the screen. The system then will generate a new promo pass code for each person who appears in the mail merge output in a Pass column.
Once the Pass is given to the patron
Note that the patron can check the status of their pass online themselves. They can use the link in their pass confirmation email, or they can input their code on the main ticketing page or during the checkout process in the code entry field. The system display a summary screen that shows them what tickets have been purchased on the pass and how many tickets they have remaining.
If you need to look up this information for them, you can always go to the database screen for the patron, find their retail sale, click on the retail link, then see a summary of the pass including the pass code. You can click on the pass code to get the details of its use.
Pass Redemption for Tickets
Patron self-serve redemption online: passes can be redeemed for tickets by the patron online, by using the link in their confirmation email, then proceeding with their ticket transaction, or by inputting their pass code during the ticket transaction. The order will be adjusted automatically as the pass is used.
Box Office redemption: A box officer can input the patron's pass code in the code entry field on the box office screen to apply the pass to their order. (If the patron doesn't have their code, you can look it up by going to the data base screen for the patron and clicking into the original retail transaction.)
