The following automatic email notices are sent out of the system when under the specific circumstances.
Emails to patrons are sent only when the patron has at least one email on their patron record. It is sent only to the email flagged as "primary" regardless of email opt out for marketing.
Emails to admin users are sent to the admin user email input on the Administrators setup screen.
Order completion confirmations:
Ticket order (purchase) - Upon completion of a ticket order, including subscription order - patron is sent a confirmation email with details. Option to send a copy of this email is presented in some cases as well. If BCC field is populated on setup screen, a copy of the confirmation is sent to those emails as well.
Ticket order (reservation) - Upon completion of a ticket reservation (unpaid ticket order) - patron is sent a confirmation email with details that includes link to cancel or pay and print receipt showing amount due. If BCC field is populated on setup screen, a copy of the confirmation is sent to those emails as well.
Retail order - Upon completion of a retail order - patron is sent a confirmation email with details. Option to send a copy of this email is presented in some cases as well. If BCC field is populated on setup screen, a copy of the confirmation is sent to those emails as well.
Pass purchase - all pass orders - patron is sent a confirmation email with details. Option to send a copy of this email is presented in some cases as well. If BCC field is populated on setup screen, a copy of the confirmation is sent to those emails as well.
Gift Certificate purchase - all gift certificate orders - patron is sent a confirmation email with details. If recipient email is populated then that email will receive notification of being given a gift certificate with link to print. Option to send a copy of this email is presented in some cases as well. If BCC field is populated on setup screen, a copy of the confirmation is sent to those emails as well.
Enrollment order - all enrollment orders - patron is sent a confirmation email with details. Option to send a copy of this email is presented in some cases as well. If BCC field is populated on setup screen, a copy of the confirmation is sent to those emails as well.
Donation order - all donation orders that do NOT trigger membership - patron is sent a confirmation email with details. Option to send a copy of this email is presented in some cases as well. If BCC field is populated on setup screen, a copy of the confirmation is sent to those emails as well.
Membership start/update - All donation orders that either start or update a membership - patron is sent a confirmation email with details. Option to send a copy of this email is presented in some cases as well. If BCC field is populated on setup screen, a copy of the confirmation is sent to those emails as well.
Recurring donation started - If donation or membership above include the start of a recurring donation, a second email is sent regarding the recurrence being started and how it will process for each recurrence.
Order Update Confirmations:
Exchanged tickets - Upon completion of a ticket exchange - patron is sent a confirmation email with details. If BCC field is populated on setup screen, those emails are sent as well.
Release / Refund - Upon completion of an item release and/or refund - patron is sent a confirmation email with details.
Recurring donation updated - Upon completion of a recurring donation update - new recurrence started or current recurrence edited - patron is sent a confirmation email with details.
Recurring donation processed - Upon each instances of recurring donation charged to the patron's credit card - patron is sent a notification of the recurrence successfully processing.
Recurring donation stopped - Upon cancelation (stop) of a recurrence by an admin user - patron is sent a confirmation email with details.
Ticket Reminder Email - This is an optional automatic email that will send out to patrons to remind them of their upcoming performance 4-5 days in advance. To activate it visit the Setup Global Settings screen and check the box for "Use automatic ticket reminders" and save at the bottom. Default text is in place for the email, but you can customize the text by visiting Setup System Messages Emails "Ticket_reminder_email" messages. Leave fields in place, but you can customize the surrounding text.
System notifications:
Recurring donation failure (3rd attempt) - Client financial contact email notified of this case.
Membership annual expire date roll forward - Client business and financial contact notified when this occurs.
