Recurring Donation Settings
The membership system in Arts People allows you to give recognition and benefits to patrons who donate to your organization. Benefits can include discount pricing on tickets or early access to ticket sales.
- To access the Membership Setup page, from the Arts People homepage, select Setup in the left navigation menu.
- On this page you can find links for different categories of the Arts People Setup. Select Membership setup in the Donation section.
- At the top of the page, you will see a textbox to enter the dollar amount you choose for the minimum amount for a recurring donation. This is the minimum that can be charged to the donor's credit card. After you enter an amount, select Save.
Note: It is recommended that the minimum should be no lower than $10 because of transaction fees associated with credit cards.
Membership Types
There are three different membership types to select from: annual, rolling, and once.
Annual | An annual membership can last up to one year and will expire on the date you set, no matter when the patron donates. |
Rolling | A rolling membership can be purchased at any time and is good for one year from the date the patron donates. |
Once | A one-time only or once membership can be any length of time you choose. This could be 1 month, multiple years, or no expiration date. |
Setting Up Memberships
Funds are containers for specific causes where you would like to raise money. Entering a fund requires more information than entering a campaign to ensure that the money goes to the correct bucket.
- From the Arts People homepage, select Setup in the left navigation menu.
- On this page you can find links for different categories of the Arts People Setup. Select Membership setup in the Donation section.
- On the Membership[ Type table, complete the empty fields at the bottom of the table. When finished, select Save.
Field Name | Description
A. | Membership Type | Enter the name of your membership. |
B. | Active and Expiration date |
Select the dates the membership is active. Based on the type of membership you are setting up, these dates could follow your fiscal year, when a membership is paid for, or last indefinitely. Note: you cannot enter a future date in the Active date column. |
C. | Unavailable after this date |
Select a date when memberships will no longer be available for purchase. It is good to enter a date that expires on a specific date when setting up annual memberships. This will prevent patrons from paying for a membership too close to the renewal date and not receiving the benefits of the membership. Note: this column can be used to end a membership type that you are no longer using. It will prevent the levels related to the membership type from displaying on the public membership page as well. |
D. | Expire type | Select the type of method you would like to utilize for expiration. |
E. | Notes | You can enter notes about the membership, but this is not required. |
F. | Sort order | This gives you the option to order your membership types to display in a particular order. For example, entering 1 in this column will bring this membership type to the top of the list. |
- The Membership Level table is where we will assign levels for membership and determine the amount a patron is willing to donate. You can also assign different incentives with each level you create. Complete the fields at the bottom of the table. When finished, select Save.
Note: The system quantifies membership level by the amount of money donated by the individual. Related household members will automatically be given the benefits related to that membership. Memberships are always attached to the member who makes the payment. Household members simply get the benefits also.
Field Name | Description
A. | Membership Type | Select a membership type from the dropdown. |
B. | Membership Level | Give a name for your membership level. |
C. | Description | The description column provides you with a place to enter information about the membership level that will be posted on the membership public page. You can also use the formatting tools to format the way your description looks. |
D. | Minimum Donation | Enter the dollar amount for this membership level. |
E. | Qualify for preseason? | Select the checkbox if you would like this level to qualify for preseason sales. |
- Repeat this process until you have all your levels created. Once you have created all your membership levels, if you have created membership benefits that give pricing discounts on tickets or early access to ticket sales, you will submit a request to Arts People support with information relating to your pricing edits by selecting the Help icon.
- You can now successfully add memberships.
