Administrative users can add CRM related items to person or organization records. These include:
Note- attach a note to a patron record, including subject and description.
E.g. "This patron prefers to sit in row M on the left aisle," "This patron's name is pronounced..." OR "We have offered this patron 3 comps based on her complaints about former productions."
Task - similar to a to-do item, tasks can have a reminder date and assignment to one or more admin users in your system. They can also have alerts similar to above. Reminders will appear for the assigned user(s) on their home menu starting on the date set until they are marked completed.
E.g. "Contact this patron on (date) to schedule a lunch to talk about donor possibilities. Their giving capacity is estimated at $" OR "Board member X to followup recent ask letter with a phone call."
Activity - similar to tasks in some ways, these also can be assigned to users, have a reminder date, but also can have a date range span of when the activity did or will take place.
E.g. "Typical summer away to Florida (date range)" OR "Participated in a week of focus group discussions (date range)."
Additional features
Alert - An alert can be added to make it pop up when an admin user opens the record on either the box office or database screens to bring it to their attention. The alert will pop up for each user who views the patron record on box office or database screens unless the alert is cleared. If there are multiple alerts they can move thru them using the << and >> and Next buttons.
Privileged Item - If an item is marked privileged, it will be visible only to those admin user types who have permission to see privileged content (typically primary and secondary user types - others can be added on global settings screen).
All Household - if the patron has a household relationship, and this option is checked, the item will appear on all household member database pages. It will list the patron name who the note was actually entered under.
Reports
There is a report under Reports > Standard Reports > Patrons called CRM Activities. We recommend that you click the Customize report button to run that report, then use the Columns, Filter, and Group buttons to customize the report as needed.
The report can be turned into a Marketing list, downloaded as a CSV file (readable in any spreadsheet software), or downloaded as a PDF. You can also save the report once you've customized it, so that in the future you won't have to recreate the report, but can run it based on a different timeframe instead.
