Instructions
You can set up more than one message for each System Letter. These messages are called Versions. Most of the system letters come with a Neon CRM Standard version which can be utilized as your default version. Let’s create a new letter version.
1. Select the Settings Cog. Then, select Global Settings from the drop-down menu.
2. Scroll down to the communications section. Below the Transaction Acknowledgements header, select System Letters.
3. On this page, select the Donation tab to reveal all system letters related to donations. In the Donation Appreciation Letter Type row, select the Three-Dot Action Menu. Then, select Add New Version.
4. The letter builder will display. Under the version name section, enter the version name. When you have completed this section, select Save.
5. Next, you can add any conditions to this letter that you wish. Creating Conditions will send different versions depending upon different circumstances.
6. Select Add Content.
7. Select your template. You can select a Neon CRM Template, Copy from Existing Letters, or Code Your Own. Then, select Continue.
8. You will see a preview of your letter on the right and a variety of settings in the left menu. This will allow you to select a letter theme, add content, and adjust other letter settings.
Select the Content Icon from the left toolbar. Here you can add specific content to your email. Start by adding blocks such as images, dividers, QR codes or page breaks. You can also change the layout of the email.
9. Select the content block on the right to add content or make changes. More options will display allowing you to reformat, change text, add tokens, or add images, etc.
10. If you select the plus button between two content blocks, you may add additional content blocks.
When modifying the text within the body of the letter, tokens can be a helpful tool in building a custom letter for constituents. Neon CRM tokens serve as placeholders for dynamically generated account and transaction information. You use tokens when building system emails, system letters, and campaign emails. When a letter is sent to a constituent, Neon will replace the token with the associated data. Use the insert token button and search to be sure the token is correct.
11. Select the Settings Cog on the left to review the settings. Make any changes you wish. In this section, you may adjust the font, colors, and margins for your letter.
12.When you are finished, you can select Preview to see a preview of your letter. If you are satisfied, select Save & Close at the top right. You will return to the letter builder.
13. When finished, select Ready to Send. Your version has been added to the version list on the letter type page.
