Checking for Duplicate Accounts
You may check for duplicate accounts at the account level rather than using the Duplicate Management feature. To do so:
1. Select the three dot Action Menu at the top of an account page and then select Find Duplicate on the drop-down menu.
The system will search for duplicate accounts by name and address. If a match is found, the match will appear, as shown below.
2. Select Compare Accounts.
A side-by-side comparison of the possible duplicate accounts appears, as seen below. Here, you can decide if the two accounts are duplicates or not duplicates. The next two sections below contain the instructions for two situations: 1) the accounts are NOT duplicates, and 2) the accounts ARE duplicates. Continue with the applicable instructions per your situation.
Marking Accounts as Not Duplicates
If you determine the account listed are not duplicates:
1. Select Cancel.
2. Select the three dot Action Menu on the main account page and then select Find Duplicate.
3. On the Duplicates page, select Not Duplicates.
This action will tell the system that these two accounts are not duplicates. They will not appear as duplicates in future duplicate scans.
Merging Duplicate Accounts
If you determine the accounts are duplicate accounts:
1. Choose the radio button next to the account you would like to keep as the main account and then select Next.
2. On the next page, determine what you would like to do with the duplicate accounts. The options are as follows, per the image below:
- Merge - This option merges the account data in the “secondary” account (the NOT selected account in the previous step) with the main account data. After the merge, the duplicate will be permanently deleted, as all information will be merged with the new account. This is the most common scenario used.
- Keep this account (do not merge) - This option simply keeps both accounts as is. These accounts will continue to show as duplicate accounts in future duplicate scans.
- Keep this account (mark as not duplicate) - This option tells the system the accounts are not duplicates. Each account will remain separate and will not appear as duplicates in future duplicate scans.
- Link to [...] as an Account Relation - This option will keep both accounts as unique. It will define a relationship between the two accounts. If you select this option, you will be prompted to assign a role to each account. Click here to learn more about account Relationships.
- Add to [...]’s Household - This option will add the “secondary” account to the main account’s household. This option is only available for individual, not company, accounts. Click here to learn more about Households.
3. On the next few pages, you may compare both accounts’ data and decide which data you wish to keep on the main account. Select Next on each page until you come to the Duplicate Merge Summary page (as seen in the image in the next step).
4. Select Merge Accounts and Return to Account Details. Note: Once you merge accounts, this action cannot be undone.
