The Email Subscription Form allows a constituent to sign up to be a member of a specific email audience so they may receive any communications sent to that audience, including newsletters or other emails with information about your organization. This sign up process does not create an account in the CRM for the subscriber.
Instructions
Access the Email Subscription Form
To access the Email Subscription Form:
1. Select Forms & Pages in the navigation menu and then select Forms on the drop-down menu.
On the Forms list page:
2. Select the Email Subscription Form tile in the top section of the page.
This page automatically includes all published email audiences, as seen below. The user may enter their Name and Email, select one or multiple email audiences, as applicable, and then select Subscribe at the bottom of the pop-up to add themselves to the selected email audiences. You cannot reformat this page. To use this page on your website, copy the page's URL and link it to your website, as applicable. The form will then open up in a new tab when a user selects the button or link to which it is linked.
Change the Look of the Email Subscription Form
If you wish to change the look of the form, including the header, background image or color, and footer:
1. Select the Settings cog in the upper right corner of the page and then select Global Settings on the drop-down menu.
2. Select Web Themes under the Forms & Pages heading.
The theme selected as the Default theme, as denoted by the blue flag, is the theme that is automatically used on the Email Subscription Form.
If you wish to select a different theme as the Default theme:
3. Select the three dot Action Menu on a theme and then select Set as Default, as seen in the image below. You may also create a new web theme by selecting New Theme in the upper right corner. Please note: This is a global setting, and any change here will affect any other item in the CRM that uses the Default web theme.
Obtain an Email Audience URL to Link to Only One Subscription/Email Audience
If you wish to obtain a URL that will link to an email subscription form for only one published email audience (rather than all published email audiences as seen in the first section of this guide):
1. Select Emails in the navigation menu and then select Email Audiences on the drop-down menu.
On the Email Audiences list page:
2. Select the email audience you wish to link on your website.
3. Select Form URL and then select Copy URL on the drop-down menu.
You may then use this URL in your website, as applicable for your web page. When a user selects the button or link to which this URL is linked, a sign up form for only the one chosen email audience will appear in a new tab. The header, background, and footer for this form are again controlled by the default web theme in Global Settings as explained earlier.
Embed an Email Subscription Sign Up on Your Website
If you wish to embed an email subscription form on your website for one specific email audience and not have the form open on a new tab on your website:
1. Select Emails in the navigation menu and then select Email Audiences on the drop-down menu.
2. Select the email audience you wish to embed on your website. Please note: The chosen email audience must be published.
After you select your email audience:
3. Select Form URL and then select View Code Snippets on the drop-down menu.
On the Code Snippet pop-up:
4. Select Copy Code Snippets.
You may then embed this code in your website, as applicable to your situation. This option allows you to embed the sign up form for this one email audience on a page on your website. The sign up form will not open in a new tab.
Congratulations! You have learned about the various options for using the Email Subscription Form.
