Downtime Data refers to information entered into your legacy system(s) after you have completed the data export process and provided that exported data to your Consultant for import into Neon CRM. It’s important to have a plan in place on transitioning your Downtime Data so that when your import is completed, your CRM is cohesive and representative of all historic data. In an effort to limit the amount of Downtime Data you and your team must manage, please review this article which provides helpful tips for tracking your Downtime Data, and options on how to enter your Downtime Data into your CRM.
Tips for Downtime Data Management
Track the date that all data files were exported from your current legacy system(s). This will ensure no data is duplicated with any subsequent imports/data entries you complete.
While your import that was performed by your Consultant may have included a variety of data types, imports via Import Manager in your CRM are limited to the following types of data:
- Accounts
- Donations
- Events (Legacy Events only)
- Memberships
- Grants
- Activities
After entering new data to your CRM via one of the options below, ensure you utilize the Duplicate Management tool in your Tools module to review and correct any duplicate accounts.
Options for Downtime Data Entry
- Manually data enter any new accounts, transactions, or account updates to the CRM
- Any new accounts with transactions can be entered prior to the completion of your import
- Any new transactions or updates to existing accounts must be entered after import is completed
- Bulk import any new accounts + their transactions using the Import Manager Tool
- Complete an import to add new accounts to the CRM that were not included in the data import process
- Complete an import to bulk update existing accounts that were included in the data import process
- Consultant will index legacy account/contact linking IDs to the Import Manager tool
- Use the legacy account/contact linking ID # to link the updated account info or new transactions to the existing Neon CRM record
