Navigating to the Ticket Scanner Check-In Feature
1. Login to the CRM on the device you intend to use for scanning tickets (a mobile device, tablet, or laptop) through the Neon Portal at https://app.neonsso.com/ (In this guide, the mobile version is displayed.)
2. On mobile and tablet, select the menu icon on your device to reveal the mobile navigation menu. (Laptop users may skip this step.)
In the mobile and tablet view, the Sales & Check-in link is pinned to the top of the menu.
3. Select Sales & Check-in.
If needed, you may also access Sales & Check-In by selecting Events on the menu and then selecting Sales & Check-In in the Events sub-menu.
Note: On laptops, you may access Sales & Check-in by selecting Events in the navigation menu and then selecting Sales & Check-In on the drop-down menu.
The Tickets page will appear.
4. Select the Today's Events tab.
5. Select your event.
6. Select the current day’s occurrence of the event. (If there is only one occurrence, it should be pre-selected for you; if not, select the applicable occurrence. If the occurrence is pre-selected, skip this step.)
7. Select the Check-in tab that appears at the top of the page.
On mobile and tablet devices, the Ticket Scanning feature button appears at the top of the page, and the list of all attendees appears below this feature. (On a laptop, this information will be displayed in two columns.) The following section of this guide explains how to enable the ticket scanning feature.
Enabling the Ticket Scanning Feature as a Neon CRM System Admin or System User
As a Neon CRM System Admin or System User, you have the ability to turn the ticket scanning functionality on to enable volunteers or other staff members to utilize their devices to use the CRM's scan functionality. These volunteers or other staff members do not need to have an account in Neon CRM. To enable ticket scanning at the start of an event:
1. Select Start Session on the Check-In page.
This session, which lasts for 24 hours (or shorter if you end it sooner), allows you to share the ticket scanning page with volunteers and staff members. This session-based feature allows for a more secure check-in process, as volunteers and other staff members will have access to only the attendees for the selected event occurrence. Additionally, all attendee email address and personal information (other than the name) is removed from the attendee list.
You may allow volunteers or other staff members to access the ticket scanning page in multiple ways, as follows:
a) Share the link and Access Code (per label "A" in the image below).
b) Select Copy Link & Access Code (per label "B" in the image below). This link copies the event link and access code. You may then paste this information into a text message and send this text to those who will be scanning QR codes to check in attendees.
c) Have all volunteers and staff members who will be checking in attendees scan the QR code on your Ticket Scanning page (per label "C" in the image below) using their devices camera. This QR code points to the ticket scanner's URL and most devices should be able to surface that link when scanned.
Additionally, as an added security feature, if you wish to change the Access Code during the event check-in process, you may select the Refresh button next to the Access Code. You must then send this new access code to all individuals scanning tickets so they may continue scanning codes during check-in.
Using the Ticket Scanning Feature to Check In Attendees
Once the QR code scanning session is started and you and/or other users access the scanning feature as described in the section above (Please note: Your device may request your permission to access the camera when accessing this feature. Select the applicable option [i.e. Yes or Accept, etc.] to give permission to access your device's camera.):
1. Place the ticket's QR code in front of the device's camera to scan. (For laptops, hold the QR code in front of the camera.) A green confirmation message will appear for a successful scan, or a yellow warning will display for invalid codes or tickets.
The constituent is now checked-in. By default, once you check in a constituent, that constituent’s name will disappear from the constituent/attendee list. If you wish to keep checked-in constituents' names in the list to confirm a successful check-in:
2. Select the Show checked-in tickets toggle.
Once you select the Show checked-in tickets toggle, a green checkmark will appear next to constituents who have successfully been checked in. Note: If you wish to remove the checked-in status, click on the checkmark.
