Creating a Seat Map Floor Plan
The CRM provides the option to create a seat map floor plan for your venue so constituents can select specific seats when purchasing tickets for an assigned seating event. To begin:
1. On the CRM Dashboard, select Events in the navigation menu and then select Seat Maps in the drop-down menu.
The Seat Maps page will appear. If you have already created seat maps for various venues, they will appear on this page. To create a new seat map:
2. Select the Add Seat Map button.
The New Seat Map pop-up will appear. On the pop-up:
3. Enter the seat map name in the SEAT MAP INFO field and then select the Create Seat Map button.
A grid displays; you will build the components of your seat map on the grid. In the Icon menu on the left side of the grid, there are several tools (represented by icons) available to help you create the different components of your seat map. From top to bottom, the icon tools are:
- Select ( ) - Allows you to select an item or seating section on your map to move it on the grid as needed.
- Draw Section ( ) - Allows you to add a seating section to the grid.
- Add Text ( ) - Allows you to insert text labels for various elements of the seat map.
- Add Object ( ) - Allows you to add different amenity object signage to the seat map, such as exits, food, and bathrooms.
To add a seating section to the grid:
4. Select the Draw Section tool icon.
The Add Section pop-up will appear. In the pop-up:
5. Enter the desired number of rows in the Row count field.
6. Enter the desired number of seats per row in the Seats per row field.
7. Select the Add button.
The new seating section will appear with the label of “Default.” Notice the rows are automatically labeled by letter and the seats are labeled by number. You can adjust this later, as needed. Additionally, in the left side pop-up, two tabs appear: the Layout tab and the Label tab. The Layout tab appears first by default. On this tab, additional fields appear, as follows, per the image and table below:
Field Name | Description
A. | Alignment | Allows you to align objects per left, right, or center. |
B. | Rotate | Allows you to rotate the section up to +/- 90 degrees. |
C. | Curve | Allows you to curve the section up to +/- 50%. |
D. | Skew | Allows you to skew the section up to +/- 45 degrees. |
Note: To move any section on the grid, select the Select icon tool from the left menu and then click anywhere in the section you wish to move (except directly on a seat). A blue box will appear around the section, and you may move the section anywhere on the grid, as needed.
Before examining the Label tab, let’s repeat steps 4-7 to add a balcony to this venue.
The balcony section has been added, as seen above. Notice a 25% curve has been added to this balcony section to match the floor plan of this venue. Next, let’s look at the options on the Label tab.
The Label tab allows you to further customize your seat map to match the seat and row labeling of your venue. The Label tab contains the following fields and options, per the image and table below:
Field Name | Description
A. | Section Name | Allows you to name each seating section to match the section names in your venue. |
B. | Show section label | Uncheck this toggle if you wish to hide the section name label. |
C. | Row | Allows you to decide whether to label the rows with numbers or letters. |
D. | Show row label | Allows you to decide whether the row labels are displayed at both ends of the section rows, at only one end of the rows, or not at all. |
E. | Starts with | Allows you to select the number or letter label of the first row in the section. |
F. | Skip row | Allows you to omit the use of the letters “I” and “O” as row label letters. Many theaters skip these letters as row labels to prevent confusion with seat numbers. Select one or both of these letters as needed to hide the row label to match your venue row labeling. |
G. | Label direction | Allows you to choose whether you wish to display the row labels in ascending or descending order. |
H. | Seat | Allows you to select whether the seats are labeled with sequential numbers, odd or even numbers only, or letters. |
I. | Starts with | Allows you to select the number or letter label of the first seat in each row. |
J. | Label direction | Allows you to decide whether to reverse the seat label display order, as needed. |
To make any of the layout or label changes as described in the Layout and Label tabs, use the Select icon tool to select the seating section you wish to update and make your changes on each tab as needed for that section. Repeat this process for each seating section, as needed.
Now that the seat map is complete:
8. Select the Save button at the top of the page.
The Saving Seat Map will appear. This pop-up will indicate whether there are any issues found with the seat map. If there are issues, follow the prompts to solve the issues.
9. Select the Save Seating Map button.
Adding Venue Amenity Object Signage
To help your constituents choose a seat that meets their needs, you can add objects to a seat map that represent different amenities located in the venue. You may also add text to these objects to clarify the signage, as needed. These objects may include exits, food, drink, bathrooms, and stairs. Let’s continue working with the floor plan created in the first section of this guide.
To begin, on the seat map page:
1. Select the Add Object icon tool in the left menu.
The Add Object pop-up will appear.
2. Select Square or Circle from the Object Type drop-down menu to decide whether you wish to have the amenity object signage icons appear square or circular.
3. From the amenities list in the Add Object pop-up, select the amenity you wish to add. For this example, let’s add an Exit sign. Select Exit.
4. On the grid, drag the cursor to create the desired size of the Exit sign. (You may adjust the size and placement of the sign in the next step.)
5. To adjust the size and placement of the Exit sign, select the Select icon tool in the left menu.
6. Select the Exit sign and move it to your desired placement. You may also adjust the sign size using the corner circles that appear. The Object pop-up appeared on the left side of the page when you selected the Exit sign. In this pop-up, you may rotate the Angle of the object +/- 180 degrees. Also, if you wish to duplicate the sign, select the Duplicate button at the bottom of the pop-up.
To add additional objects to your seat map, repeat the above steps and select the applicable amenity object item you wish to add in step 3.
Next, let’s add text to clarify this signage.
7. Select the Add Text icon tool in the left menu.
8. Select a placement on the grid where you wish to add the text. When you click on the grid, the blue word “Text” appears. (To adjust the text placement, select this blue word and hold down the mouse button to drag and drop the text to a location anywhere on the grid anytime.) Additionally, the Text pop-up appears on the left side of the page. The Text pop-up contains the following fields and options, per the image and table below:
Field Name | Description
A. | Text | Allows you to change the blue word “Text” to your desired text. |
B. | Font size | Allows you to select a font size for the text. |
C. | Angle | Allows you to rotate the text +/- 180 degrees. |
D. | Duplicate | Allows you to duplicate the text for placement elsewhere on the grid. |
9. Select anywhere on the grid when you are finished editing your text to unselect it. If you need to readjust and/or edit the text, select the text again.
10. Select the Save button at the top of the page.
The Saving Seat Map will appear. This pop-up will indicate whether there are any issues found with the seat map. If there are issues, follow the prompts to solve the issues.
11. Select the Save Seating Map button.
Adding Seat Map Tier Pricing Levels
Your organization may decide to divide the sections or seats of your venue into categories, known as tiers. These tiers can be used to create different seat pricing levels when creating an event. You can select individual seats, whole rows, or entire sections to add a tier. During the assigned seating event creation process, then, you may assign each tier level a different ticket price, as needed.
Note: In this process, you are only defining the various tier categories in the venue; you are not assigning ticket prices to these tiers. Ticket prices are assigned when an event is created.
To add a tier:
1. Select the Tiers tab at the top of the seat map page.
2. Select Add Tier.
A box with the default text of “Tier 1” appears.
3. Select the words “Tier 1” to change the name of the tier. Select the checkmark once you have changed the name.
4. Select the seats or rows you wish to assign to the tier. If you wish to assign a whole row, select each row label (A, B, C or 1, 2, 3) to highlight the entire row.
5. Select the plus sign (+) in the colored circle in the tier label box in the left menu to assign the selected seats to the tier.
The seats will change color to match the color of the tier to indicate that the seats are now assigned to the tier. The number of seats assigned to the tier also appears in the tier label box.
To add additional tiers, repeat the steps above until all seats in the venue have been assigned to a tier.
Note:
- You may change the tier color by selecting the colored circle and choosing another color.
- You may rearrange the order of the tiers by selecting the six dots to the left of the colored circle in a tier label box and dragging the tier up or down as needed.
6. Select the Save button at the top of the page.
The Saving Seat Map will appear. This pop-up will indicate whether there are any issues found with the seat map. If there are issues, follow the prompts to solve the issues.
7. Select the Save Seating Map button.
